Patent Illustrator Brief: A Template for Comparable Quotes

Updated · 5 min read· Patent Task Editorial Team

Send every prospective patent illustrator the same brief before comparing quotations. A price for tracing a supplied view cannot be compared with a price for choosing views, resolving inconsistent source material and revising the complete set. This template makes that scope visible.

If you are still choosing between a commissioned illustrator and a tool you operate yourself, compare patent drawing costs first. This article focuses on the brief, the supplier's response and acceptance of the delivered files. It is published by Patent Task and does not rank independent providers.

A patent illustrator brief you can copy

Replace each instruction with the facts of your assignment. For early inquiries, share only what you are authorized to disclose; agree on data handling and the transfer channel before providing confidential source material.

Project / source revision:
Intended patent office and application type:
Technical contact and person approving scope decisions:

Requested work:
State whether this is tracing, view planning, new illustrations or corrections.

Source package:
List the sketches, photographs, models and written descriptions available.
Identify the authoritative revision and any contradictions still unresolved.

Proposed figures:
For each figure, give its purpose, source and required visible features.
Mark the view list as proposed if it still needs professional review.

Terminology and reference signs:
Attach the approved register, or state that one has not yet been approved.

Unresolved decisions:
List missing geometry, uncertain connections and claim-scope questions.
Ask the provider to flag missing facts rather than supply invented details.

Deliverables requested:
List sheet files, individual images and editable source files separately.
Specify the editing software/version if editable files are required.

Review and revisions:
Identify the reviewer, review milestones and requested correction process.
Ask how source changes and corrections to provider errors are distinguished.

Schedule and quotation:
Request a proposed schedule, included work, exclusions and itemized extras.
Require approval before additional chargeable work begins.

Data handling:
Ask about access, subcontractors, external AI tools, retention and deletion.

For US applications, use the USPTO application guidance to identify the relevant official requirements. The intended office belongs in the brief because "patent drawings" alone does not define the assignment. For an appearance-based design, add the design drawing review checklist and route scope questions to the responsible practitioner.

Example: a synthetic clamp assignment

Suppose the source is a fictional desk clamp with a body, sliding jaw and screw. The request is for a perspective view showing their relationship and a side view showing the jaw position. The source does not establish the internal thread geometry.

A useful brief says: "Use source revision C. Keep body 10, jaw 20 and screw 30 consistent across both views. Flag the missing thread detail if it is needed; do not invent a section view. Quote the two proposed views and state whether view planning and one coordinated correction round are included."

That request gives the supplier something concrete to price without pretending the proposed views are a legally sufficient set. Ask the provider to identify any extra source information needed before work starts.

Compare the written responses

Comparison fieldEvidence to requestWhat makes quotes incomparable
Figure scopeAn agreed figure list and assumptionsDifferent view counts or planning responsibilities
Correction scopeIncluded rounds and treatment of source changesOne includes coordinated corrections; another charges per changed view
FilesNamed formats and whether editable sources are includedA PDF sheet is compared with a full source-file handoff
TimingMilestones and dependencies on your repliesA first draft date is compared with a final delivery date
ReviewNamed responsibility for geometry and professional reviewOne quote silently excludes the checks you need
TotalCurrency, applicable charges and separately priced extrasA headline figure price is compared with an all-in assignment

Use the cost worksheet to normalize the scope. An unanswered item remains an open question; do not fill it with an assumed industry practice.

Accept the files against the brief

Open every delivered file, match the figures to the agreed list, and compare the drawings with the authoritative source. Check the reference signs against the written description. If editable files were included, make and save a small test edit in the agreed application.

Return corrections as an issue log: figure, source evidence, requested action and status. After a change, recheck related views as a set. Record technical review separately from the practitioner's application review; a supplier's "patent-ready" label does not establish either.

Patent Task's drawing preview offers a self-service starting point. Its first figure is a restricted preview, with later generation and full exports subject to the applicable access or purchase. It does not supply a commissioned human illustrator. Review its workflow and limits before using that option in your comparison.
